Exhibitor Terms & Conditions

These terms and conditions replace any and all previous terms and conditions made by the organizer


  • Whether they accompany or while not the Registration form
  • Whether their endorsement by the administration was by email or not
  • Whether the event is in-person or virtual / online
  • Even if they come through partnership, sponsorship or they were offered free booth by the Employment Expo Management.


By making a booking for a booth at the Expo of your choice of venue (Venue), and paying a fee for the booth (Expo Fee),you (the Exhibitor) are entering into an agreement between the Employment Expo Canada (Organizers) and agree to the following terms as found on the Employment Expo website:


PLEASE READ CAREFULLY


1. Employment Expo disclaims and will not be responsible for any and all liability to any third party that may arise from acts or omissions of Employment Expo’s attendees, guests, or members, including but not limited to material damages to premises where the Employment Expo is held. Employment Expo its partners, volunteers, or staff accepts no liability or responsibility to attendees, guests, or members, and any liability or responsibility for any injury, damage, or theft occurring as a result of participation in Employment Expo. The Conference, its partners, volunteers, or staff accepts no liability to any persons or body for any loss, injury or damage howsoever and whether directly from any action or cause whatsoever undertaken, organized or sponsored by The Employment Expo “Employment Expo Inc.”, its partners,volunteers or staff.


ASSIGNED EXHIBIT SPACE


2. The assignment of space is on a first-come, first-served basis,with priority given to Gold, Silver and Bronze sponsors. An exhibitor shall not assign to a third party its right here under to the Exhibit Space or any portion thereof. Only the exhibitor who signs the contract with Employment Expo “Employment Expo Inc” will be allowed to use the exhibit space.Employment Expo “Employment Expo Inc” reserves the right to cancel this contract and to expel the Sponsor / Exhibitor if the Sponsor / Exhibitor fails to comply with any terms and conditions of this contract or the event rules and regulations, in which case the Sponsor/Exhibitor shall forfeit as liquidated damages and not as a penalty all payments made pursuant to this contract, all without limiting Employment Expo“Employment Expo Inc” other rights and remedies at law under this contract as a result of such failure to comply.


LIABILITY INSURANCE


3. Every reasonable precaution will be taken to protect exhibitor’s property during installation, during the Employment/Career Expo and removal. However, Employment Expo“Employment Expo Inc”, its partners, volunteers, or staff will not accepts liability for injury to persons or loss of or damage to products, exhibits, equipment or decorations by fire, accident,theft or any other howsoever and whether directly from any action or cause whatsoever undertaken, organized or sponsored by Employment Expo “Employment Expo Inc”, its partners,volunteers or staff.Sponsor/Exhibitor must carry appropriate insurance to cover display materials against damage and loss, and public liability against injury to the person and property of others. Exhibitors must have a copy of their insurance policy on hand to present it upon request.


PAYMENTS


4. Payment is due upon receipt of invoicing and must be paid in full before the event date. All prices are subject to HST (13%).Booth space will be allocated on a first-come, first-served basis.All exhibitor space/special requests will be taken into account,but I understand that interest on outstanding amounts will be charged at a rate of 2.5% monthly or 18%per annum, compounded after 30 days. Payment by credit cards will be charged a processing fee between 2-3%, depending on the type of credit card used. The exhibitor agrees to pay a service charge of $50.00 for any returned cheque’s. Exclusivity by industry or company is not offered.


RELOCATION OF EXHIBITS


5. Employment Expo “Employment Expo Inc.” reserves The right to alter the location of exhibit spaces, at its sole discretion, in the best interest of the EMPLOYMENT/CAREER EXPO.


REGISTRATION CANCELLATION AND REFUND POLICY


6. Sponsor/exhibitor fees are non-refundable. Booth space maybe cancelled, but booth payments are non-refundable. Employment Expo “Employment Expo Inc.” reserves the right to re-sell space.” Cancellations must be sent via email with the subject line “Booth Cancellation” to Info[at]employmentexpo.ca, Exhibitor is responsible for total booth rental regardless of the reason for the cancellation by the Exhibitor.


EXHIBITOR’S REPRESENTATIVE


7. Each exhibitor must name one person to be its official representative who will be responsible for the exhibit. This person will be identified on the exhibitor application form and will act as sole liaison between their organization and Employment Expo “Employment Expo Inc”.


CONTRACT FOR EXHIBIT SPACE


8. A completed registration form, upon acceptance by Employment Expo “Employment Expo Inc” together with the full payment of the registration fee, constitutes a contract for rental of the space, assigned by Expo Management. Any exhibitor failing to occupy space is not relieved of the obligations of paying the full rental price.In the event that exhibitor after the enrollment and assignment of show space neglects to partake within the Employment/Career Expo throughout the time of the presentation, the nonattendance of that exhibitor would be taken as the termination of the Registration Form by that exhibitor.The exhibitor should pay all adequate cancellation expenses and additional penalty charges as expressed on the website, Exhibitor Welcome Kit along with the cancellation Terms and conditions below. These charges will be an addition to the booth registration. However, there are also a couple of exemptions by the utilization Employment Expo Management. Exhibitor should guarantee to communicate well with Employment Expo Management for payment to dodge accumulations or prosecutions.


UNEXPECTED CANCELLATION OF THE EXPO


9. For all unforeseen events, inconveniences, weather conditions,etc., beyond the control of Expo Management being found necessary for whatever reason that the Employment/Career Expo must be postponed, abandoned or altered in any way, or if the Expo Management Office finds it necessary to change the dates of the Event, Expo Management will not be liable for any expenditure, damage or loss incurred by the Exhibitor. The costs already incurred for the production of the Employment/Career Expo at the time of cancellation will not be covered and are non-refundable.If by re-arrangement or postponement of the period of the Employment/Career Expo, or any other reasonable manner, the Employment/Career Expo can still take place, the contract (The Registration Form) between Expo Management and the Exhibitor must remain in force. The Exhibitor will not be eligible for any refund whatsoever by Expo Management, and will not receive reimbursement if the Exhibitor incurred additional costs associated with the Employment/Career Expo (travel & hotel expenses, damages, loss, shipping & handling, customs, etc.).


THE EXHIBITORS SETTING-UP AND MOVING-IN


10. Every exhibitor will have around 2-3 hours before the show to set up till the show starts. The expulsion of void boxes/crates are only real obligation of the exhibitor and should be finished 15-20 minutes before the Show opens to take care of any detriments in the opening of the career/fair. The exhibitor consents to abide by the guidelines and deadlines for stall setup. Within the event that any postponement, the exhibitor should inform the Employment Expo Management quickly.


CHARACTER OF EXHIBITS


11. Employment Expo “New To Canada Inc” reserves the right to decline or prohibit any exhibit, Sponsor/Exhibitor or proposed exhibit or Sponsor/Exhibitor , which is not in keeping with the character of the Employment/Career Expo.This reservation covers persons, conduct, printed matter,souvenirs and emblems affecting the character of the exhibit.No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle. Booth personnel, including demonstrators,hostesses, and models, are required to confine their activities within the exhibitor’s booth space. Apart from the specific display space for which an exhibiting company has contracted with Employment Expo no part of the Employment Expo Venue and its grounds may be used by any organization.


EXHIBIT BOOTHS


12. Exhibit booths must be staffed during official Employment/Career Expo hours by qualified employees of the Exhibitor. Exhibitor representatives are restricted to persons engaged in the display, demonstration, application, or sale of the company’s products and services. Booth personnel shall wear an Exhibitor badge identification.


EXPO EMPLOYEES ID BADGES


13. Exhibitor Staff Badges can be picked up at the Employment/Career Expo registration table on-site during move-in. Admission to the Employment/Career Expo is by official Employment/Career Expo registration badge. Badges must be worn at all times, including move-in and move-out.Exhibitor is responsible for ensuring badges are provided only to the company’s personnel. Exhibitor badges may not be ordered for or transferred to buyers or non-employees.Please note name badges must be worn as provided at all times during the show.


NO SOLICITING POLICY


14. Solicitations and enrolling of candidates is entirely restricted to registered exhibitors. Non-enrolled exhibitor/associations Representatives of other career fairs, employment, training,and education and Job/fairs or are not permitted to the venue of The Employment & Career Expo. In the event that any non-exhibitor and/or association is caught, this will result in lawful activities for unapproved solicitations and for not having regarded the principles and Employment/Career Expo and MUST pay the full rental price of an expo space in 10 days upon receipt of the invoice.No persons will be permitted in the exhibit hall for the purpose of soliciting advertising or other exhibit space without the expressed written permission of Employment Expo “Employment Expo Inc.” Soliciting includes(without limitation) distributing third party company.


STORAGE


15. Exhibitors will not be permitted to store boxes or packing crates that are visible to attendees. Boxes and crates that are visible must be placed in storage and must be properly labelled for storage. By making a booking for a booth at the Expo of your choice of venue (Venue), and paying a fee for the booth(Expo Fee), you (the Exhibitor) are entering into an agreement between the Expo Management Company Employment Expo Canada (Organizers) and agree to the following terms as found on the Careers Expo website;Please ensure that all materials are properly stored during the Employment/Career Expo so that Safety and Fire Regulations can be met.All electrical equipment used in exhibits must have CSA or equivalent provincial authority approval.


RECORDING, PHOTOGRAPHY & BROADCASTING


14. All images of Exhibitor/Sponsors and expo participants taken by the official Expo photographer remain the property of the organizer, and the organizer reserves the right to use any such images to promote future Expo.A By making a booking for a space the Exhibitor gives consent to the Organizer to take and use photographs, images and any video footage of the Exhibitor, or the space during the Expo for any of the Organizer’s promotional purposes in perpetuity in any media without any payment to the Exhibitor.B. The Exhibitor is permitted to take a reasonable amount of photographs for his/her/its own promotional and marketing use provided that the Exhibitor does not infringe the Organizer’s intellectual property rights it holds in connection with the Expo. In all circumstances when doing so, the Exhibitor concurs and must mention and acknowledge on each photograph, pictures, recordings, articles or documentation the name of Employment Expo INC., the Employment/Career Expo Name and Pavilion Section selected on page one of the Registration Form (Contract).C. Under no circumstances may photographs, drawings, audio or video taping be made without expressed consent by non-exhibitors/associations/guests throughout the full Employment/Career Expo and also the Conference region in all circumstances.


GUESTS GROUP ACTION AT THE EXPO


15. The Employment Expo Management is not responsible for unforeseen conditions that can have an impact on the level of attendance such as weather conditions, problems with public transit, etc. However, the Employment Expo Management will not reimburse (in part or in full) the registration costs of the Employment/Career Expo based on level of attendance. The Employment Expo Management base their anticipated level of attendees on past Career/fairs’ average attendance.


SOUND LEVEL


16 .Installation and other mechanical or electrical equipment which produce sound must be kept to an acceptable level, as to not to prove disturb other Exhibitors. Expo Management reserves the right to determine the acceptable sound level in all such MUSIC Any exhibitor enjoying or duplicating music amid the show need to consent all copyright restrictions and obtain a license required for such an execution. You must provide Show Management a replica of the license no less than 30 days prior to Employment/Career Expo. CLEANING The Exhibitor must ensure that: (1) The booth is fully staffed and continually kept open throughout the course of the Expo; (2) Walkways are kept clear at all times; (3) The space is kept clean and tidy and free from clutter at all times;(d) Business is conducted in an appropriate manner from the booth considering the Venue, Organizer, other exhibitors and visitors/


BOOTH DISMANTLE & MOVE-OUT


17. All exhibits must remain fully intact until the Expo has officially ended. No dismantling or tearing down of exhibitor removal of any material is permitted until after the official the official closing of the Employment/Career Expo.Exhibits must be removed from the venue by the time specified in the Exhibitors’ Manual. Dismantling or tearing down of exhibits can begin 15-20 Minutes after the closing of the presentation. The exhibitors are responsible for all shipping and handling costs resulting from failure to remove exhibit material from the Show floor.


AMENDMENT OF RULES


18. The Employment Expo“Employment Expo Inc.”reserves the right to make changes, amendments, and additions to these rules at any time, and all changes,amendments, and additions so made shall be binding on the exhibitor with the provision that all exhibitors will be advised of any such changes. Any matters not specifically covered herein are subject to decision by The Employment Expo“Employment Expo Inc.”


COPYRIGHT


19. The Exhibitor concurs and acknowledges that any correspondence, documentation and showcasing material by Expo Management through email or other means of transmission before and after the Employment/Career Expo is solely for the purpose of doing business with Expo.
